How an AI agent handles client calls for a law firm around the clock

A ringing phone that nobody can pick up costs companies real money. In law firms especially, attorneys are often in court, in client meetings, or on the road and cannot answer the phone at all times. This is exactly where AI phone agents come in. They work like a virtual assistant that takes calls, records the caller's request, and informs the right colleagues, and they do it around the clock.

What an AI phone agent actually does

At its core, an AI phone agent is a combination of speech recognition, a language model, and speech synthesis. The caller simply talks to an AI voice that asks questions, listens, and responds appropriately. Platforms such as ElevenLabs show how natural these AI voices now sound, while services like Vapi illustrate how a language model, telephony, and tools such as automatically sending messages can be combined into a complete phone agent. In practice, this makes it possible to build a system that answers calls, holds a real conversation with the caller, and triggers the next steps in the background.

The starting point: An employment law firm with no free capacity on the phone

We developed exactly this kind of solution for a client working in employment law. The firm had a classic problem: the attorneys were often out of the office or in meetings while new client calls kept coming in. Whenever the phone went unanswered, enquiries were lost or prospective clients simply turned to another firm.

The requirements for our solution were clearly defined. The phone had to be staffed around the clock, callers had to be able to hold a real conversation, and in the end not a single request should be lost.

The solution: An AI agent as the first point of contact

When a client picks up the phone, the AI answers and leads the conversation on its own. It asks for the caller's name and the specific reason for the call. Since this is an employment law firm, the AI directly checks whether the matter actually falls under employment law, qualifying the enquiry during the call itself.

Afterwards, the AI takes care of several tasks at once. It enters the collected information directly into the firm's case management software, so nothing has to be re-entered manually. At the same time, the responsible attorney receives an email as well as a message in the team's WhatsApp group, including a short AI-generated summary of the request. Within seconds, the team knows that a new call has come in and what it is about, even if nobody was personally available on the phone.

The result: Ten hours per week and more focus on clients

The most noticeable effect was the time saved. By eliminating traditional call handling, the firm was able to save around ten hours per week. That time flowed straight back into actual legal work. Employees could focus on existing clients and ongoing cases instead of switching back and forth between the phone and their files.

Using an AI phone agent also pays off financially. In a solution like this, a call costs around 50 cents per minute. Compared to the hourly rate of an employee dedicated solely to answering the phone, that is a clear cost advantage. On top of that comes a benefit no human employee can offer: the AI agent takes several calls at the same time. Where a person would need a queue, the AI holds parallel conversations without anyone having to wait.

Conclusion

An AI phone agent does not replace the attorney, but it makes sure no enquiry disappears into thin air. For the firm, this meant continuous availability, qualified enquiries directly in the case management software, and a team that is informed immediately by email and WhatsApp without having to pick up the phone. Especially for companies with a lot of customer contact by phone, this example shows how much time and effort can be saved with a smartly implemented AI solution.

Your next project starts with a conversation

In 30 minutes we clarify what is possible, what it costs and how quickly it can happen. That applies to process automation just as much as to custom software or an API integration.

You talk directly to a developer who can assess your project technically. Afterwards you'll know what an implementation would look like and where you stand on time and budget.
